The first workflow demonstrates the product direction. Complaint recognition, severity decisions, mixed issue handling, and response quality still require significant refinement and realistic scenario testing.

The operational problem

A difficult customer interaction should not depend on who happens to draft the response.

Managers need to understand what happened, recognize every issue involved, identify escalation risks, follow policy, and communicate in a professional tone. Recreating that reasoning for each case consumes time and introduces inconsistency.

CustomerFlow is being designed to turn the service playbook into practical guidance at the moment it is needed. It prepares the manager to respond, but it does not contact the customer or make the resolution decision.

Product direction

Recognize the full situation, not only the loudest keyword.

The next stage will strengthen detection of profanity, threatening language, discrimination concerns, injuries, legal statements, and complaints that contain several issues at once. The manager should see what the system noticed and why it matters.

Managers should also be able to correct or add complaint categories before preparing the response. This keeps the workflow useful when customer language is incomplete, emotional, or difficult to classify.

Configured for the business

The current playbook is specific. The workflow is reusable.

The first version applies Mister Car Wash service guidance, damage procedures, membership rules, escalation boundaries, and approved response practices.

For another organization, those materials could be replaced with that company’s complaint categories, policies, escalation requirements, documentation standards, and approved communication language.

Current build

A focused first prototype for more consistent service recovery.

The prototype demonstrates complaint input, category detection, severity scoring, resolution guidance, customer communication drafts, HubSpot notes, escalation reasoning, missing information warnings, and quick copy actions. It establishes the intended manager workflow while the recognition logic and response quality continue to mature.
